Online Auction Coordinator Job Description

Position Overview
The Coordinator will work closely with the Director of Development and other staff members to oversee and successfully implement our 2023 online auction, which will be held in late August. S/he will take primary responsibility for procuring donations, preparing the auction website, and overseeing the auction when it is live. The ideal candidate will also be able to help draft promotional materials and track all donations and auction purchases in our donor database.

Timeline of Responsibilities

April through July: Auction Prep (est. 5 hours/week; 80-100 hours total)
  • Help brainstorm new auction lots and donors
  • In coordination with the Director of Development, solicit and track in-kind donations from new and existing in-kind partners
  • Provide support in entering item donation (in-kind) information into our donor database (Bloomerang) and sending thank you letters/tax receipts
  • Write auction descriptions and find photos
  • Draft promotional materials, including emails, text messages, ads in RWB program book, social media content, postcard, and more 
  • Undergo training and become our in-house expert on the auction software

August: During the Auction (est. 10 hours/week; 40 hours total)
  • Create the auction site and upload all content
  • During the auction, track progress and troubleshoot any issues
  • Manage check-out, including all payments and delivery of purchased items to winners 

September: Post-Auction (est. 5 hours/week; 10 hours total)
  • Provide support in entering winning bidder information into our donor database (Bloomerang) and sending thank you letters/tax receipts
  • When auction is concluded, coordinate pick-up/delivery of auction items to winning bidders

Hours and Schedule
The Coordinator is expected to work a total of up to 150 hours between April and mid-September. Flexible schedule available; the ideal candidate will be able to start as soon as possible. 

Skills and Experience
Excellent writing, editing and communication skills and great attention to detail; proficient in office technology and software, including Google Suite, MS Office Suite, social media platforms, and CRM software (donor databases, MailChimp, or similar); able to prioritize and meet deadlines; have customer service orientation; work well in a team environment. Prior experience with fundraising and online auctions is highly desirable. 

Compensation
The Auction Coordinator will be hired as an independent contractor, with an hourly wage of up to $30.
