                   RED & WHITE BALL COORDINATOR - Sonoma Valley Education Foundation 

Join Sonoma Valley’s top education-focused nonprofit to help bring critical academic and enrichment programs to our local public schools. The Foundation (SVEF) raises over $1.8M annually to support our schools and students. This position offers the opportunity to work for a great cause in a fast-paced, positive environment.

Position Overview
The Event Coordinator for the Red & White Ball is a part time position starting with 15-20 hours per week and increasing to approximately 30 hours per week as the event approaches. It is an integral member of the staff responsible for being the liaison between the event management company and the Red & White Ball team and office staff. 
Primary Responsibilities
Event Coordination
  • Act as liaison between event management company, office staff and Red & White Ball team
  • Act as Committee Chair, send out agenda, minutes and facilitate meetings with Red & White Ball team
  • Recruit committee members 
  • Coordinate City meetings and negotiations before and after event
  • Design event map for approval and production use
  • Submit budget, work with accounting dept. to make payments to all vendors and stay on budget
  • Negotiate terms with the caterer and SVHS culinary department
  • Create raffle program, sales calendar and sales goals with event management team
  • Design invitation, work with SVEF staff for printing and mailing of the invitation and including all sponsor logos on invitation
  • Liaison with volunteer coordinator 
  • Design a registration and check out program, work with credit card vendors and SVEF accounting dept. 
  • Keep Board Members up to date on Red & White Ball activity 

Sponsorship Coordinator

  • Prepare and send out sponsorship packets or deliver as needed to new sponsors
  • Follow up with previous sponsors and acquire new sponsors
  • Work with accounting dept to prepare and send invoices to sponsors
  • Fulfill all sponsorship criteria including tickets to the Red & White Ball, social media, logo on website, banners, etc. 
  • Promote sponsors on email newsletters and special features


Communications, Media, Graphics 

  • Create bi-weekly SVEF e-blasts with office staff. Keep website current and take the lead on social media closer to event 
  • Use Instagram and Facebook to help promote event and thank sponsors


The ideal candidate will be proficient in office technology including Google docs, Excel, Word, website familiarity and Constant Contact, donor database (Bloomerang) and have graphic design skills (Canva, Adobe tools). Also, have experience with social media along with excellent writing and editing skills. Must be willing to learn, master new skills and be highly collaborative. Experience with Greater Giving is a plus. 
Part-time position. Approximately 15-20 hours per week with the ability to add extra hours up to 30 hours as needed before and during event.
